How the invoice template works
The template is built in your browser from your choices. In the Excel file each amount = quantity × rate, the subtotal adds the amounts, tax = subtotal × the tax rate, total = subtotal + tax, and balance due = total − amount paid. The Word file has the same layout with empty boxes to type in, because Word does not calculate. Nothing you type is stored or sent anywhere.

What you get: a file in four short steps
- Type your business name, address and the first invoice number, or leave them empty to fill in later.
- Name the four columns, pick the number of item rows and set your tax name and rate.
- Tick the extra parts you want: PO line, discount, amount paid, payment instructions, notes or a signature line.
- Press Download Word or Download Excel. The file is made in your browser in a moment.
Common questions
Is this invoice template really free?
Yes. There is no signup, no email gate and no watermark, and the file is made inside your browser, so nothing is uploaded.
How do I use an invoice template?
Download it, open it, type your details and the items, save it with the invoice number in the file name, and send it as a PDF or a file. Make a fresh copy for each new invoice.
Word or Excel, which is better for invoices?
Excel does the maths for you, so it is better if you invoice often. Word gives you more control over how the page looks. The generator on this site makes a finished PDF if you do not want to edit a file at all.
Can I open it in Google Docs or Google Sheets?
Yes. Upload the Word file to Google Drive and open it with Google Docs, or the Excel file and open it with Google Sheets. The steps are on the Google Docs invoice template page.
Can I change the language or the column names?
Yes. The four column names and the title are boxes you can change before you download, and every word in the file can be edited afterwards.
Is the template a legal e-invoice?
No. It is a clear layout for your own records and your clients. Some countries require official e-invoicing, so check your local rules.
