Tax is charged only on the items you tick, after their share of any discount. A second tax is charged on the same amount as the first (for example GST and PST). Tick "Prices already include the tax" when your prices were set with the tax in them, as VAT prices usually are. Check your local rules for what is taxable.

How the blank invoice works

On a hand-filled invoice, work out each line as quantity × price, add the lines for the subtotal, add tax on the subtotal (subtotal × tax rate), then take off anything already paid to get the balance due. The online generator below does the same sums for you.

Worked example: adding up a hand-written invoice

  1. Line 1: 3 × $25.00 = $75.00. Line 2: 1 × $40.00 = $40.00. Line 3: 2 × $1.75 = $3.50.
  2. Subtotal: $75.00 + $40.00 + $3.50 = $118.50.
  3. Tax at 6%: $118.50 × 0.06 = $7.11.
  4. Total: $118.50 + $7.11 = $125.61.
  5. The customer already paid $50.00, so the balance due is $75.61.

Common questions

How do I fill out a blank invoice by hand?

Write your business details and the client's, the invoice number and the dates. Add one line per item with a description, quantity and price, and work out each amount. Add the amounts for the subtotal, add tax, take off any payment already received, and write the balance due.

What should I write on a blank invoice?

Your name and contact details, the client's name, a number that never repeats, the date and the due date, what you did or sold with prices, the total, and how to pay.

Can I print a blank invoice at home?

Yes. Download the PDF and print it on regular paper. Pick US Letter or A4 to match your printer. The lines are dark enough to write on in pen.

How many rows do I need?

Eight rows is enough for most quick jobs, twelve for a typical job, and sixteen or twenty if you list many items. The table above shows what each is good for.

Is a blank invoice template the same as a fillable one?

No. A blank one is for writing by hand. For a typed copy, use the online generator on this page: it adds up the lines, works out tax and the balance, and downloads a PDF.

Does the blank invoice have a watermark or my data on it?

No. It has no watermark and no data, only labels and empty lines. It is made in your browser, so nothing is uploaded.
