Budget template maker
- 2 income lines and 9 expense lines
- Planned, Actual and Difference columns with totals and what is left over
How it's calculated
Total income and total expenses add up each column. Left over = total income − total expenses, for the planned column and the actual column.
Difference for income = actual − planned. For expenses it is planned − actual, so a positive number is always good news. The yearly version adds a Total column for every line and shows what is left in each month.
Worked example
| Income: planned $4,000.00, actual $4,150.00 | +$150.00 |
| Expenses (rent, materials, labor): planned $3,300.00, actual $3,412.50 | -$112.50 |
| Left over: planned $700.00, actual $737.50 | +$37.50 |
Fill the Actual column from your receipts
ReceiptKit is a receipt scanner: scan a receipt and keep the photo with the store, date, tax and total. The tax report shows your business spending and tax paid by quarter or for the year, with an export for your accountant. Free to download, no sign-up.
FAQ
How do I make a monthly budget?
List your income, list your expenses by category, and write what you plan for each. At the end of the month fill in what really happened, and compare. The template adds the totals and shows what is left over.
What is the difference between planned and actual?
Planned is what you expect to earn or spend. Actual is what happened. The Difference column shows how far apart they are, and it is set up so a positive number is always good news: more income than planned, or less spent than planned.
Can I change the categories?
Yes. Type your own income and expense lines in the boxes, one per line, before you download. Every cell in the file can also be edited afterwards, and you can add rows inside the table.
What should a small business budget include?
Income from customers, then costs such as rent or a workspace, materials, labor, vehicle and fuel, insurance, software and phone, marketing and money set aside for tax. The business version starts with these lines, and you can change them.
Does it work in Google Sheets?
Yes. Upload the file to Google Drive and open it with Google Sheets, or choose File, then Import. The formulas work the same way.
Where do I get the actual numbers?
From your bank or card statements and your receipts. Keeping receipts together all month makes the Actual column quick to fill in at the end.
This template is a planning tool, not financial, tax or accounting advice. The file is made in your browser and nothing you type is stored or sent. Check your own numbers before you rely on them.
