## How it works

Call-out and hook-up is a flat fee. Billed miles = miles towed − miles included in the fee, never below zero, and each billed mile costs your per-mile price. Winching or recovery is a flat line. The after-hours surcharge is a percent of the call-out fee plus the mileage charge. Storage = days in the yard × the daily rate. Total = call-out + mileage + recovery + surcharge + storage.

**How billed miles change with the included miles (18 miles towed, $4.50 per extra mile)**

| Miles included | Billed miles | Mileage charge |
| --- | --- | --- |
| 0 | 18 | $81.00 |
| 5 | 13 | $58.50 |
| 10 | 8 | $36.00 |
| 15 | 3 | $13.50 |

**Details a towing invoice should record**

| Detail | Why it matters |
| --- | --- |
| Vehicle, color and plate | Identifies exactly which vehicle was towed |
| Pick-up and drop-off places | Backs up the miles charged |
| Time of the call | Shows why an after-hours surcharge applies |
| Days in the yard | Storage is charged per day, so the dates matter |
| Who requested the tow | Owner, insurer, police or property manager |

## Worked example: an 18-mile night tow with two days of storage

1. Call-out and hook-up: $95.00.
2. Miles: 18 towed − 5 included = 13 billed × $4.50 = $58.50.
3. After-hours surcharge at 20% of $153.50 = $30.70.
4. Storage: 2 days × $40 = $80.00.
5. Invoice total: $264.20.

## FAQ

### What should a towing invoice show?
The date and time of the call, the vehicle and plate, pick-up and drop-off, the call-out fee, towed miles, any recovery work, surcharges, storage days and the total. Payment is usually due when the vehicle is released.

### How are towing miles billed?
Many companies include the first few miles in the call-out fee and charge a rate for each mile after that. Enter the included miles and the extra-mile price and the sheet works out the billed miles.

### How is an after-hours towing fee calculated?
Some operators add a percentage, others a flat night fee. This sheet adds a percent of the call-out and mileage. For a flat night fee, leave it unticked and add the fee under Extra items.

### How is storage charged on a towing invoice?
Per day, starting from the day the vehicle enters the yard. Count the days, enter the daily rate, and keep a record of the dates in case the customer disputes it.

### Can I use this for police or insurance tows?
Yes, but those jobs often use set rates. Enter the agreed rates, write the reference or case number in the notes, and keep the paperwork the payer asks for.

### Do I need a signature on a towing invoice?
It helps. Draw a signature or type your name, and tick the client signature line if you want the customer to sign when they collect the vehicle.
