## How it works

Hours for a day = (end time − start time, rolled over midnight if the end is earlier) × 24 − break minutes ÷ 60, never below zero. Total hours = the sum of the days. Regular hours = the smaller of total hours and the overtime limit. Overtime hours = total hours above the limit. Regular pay = regular hours × the hourly rate. Overtime pay = overtime hours × the rate × the overtime multiplier. Gross pay = regular pay + overtime pay, before tax. The limit and the multiplier are cells you can change.

**How the Excel timesheet reads one day**

| Start | End | Break | Hours |
| --- | --- | --- | --- |
| 8:00 AM | 4:30 PM | 30 min | 8.00 |
| 7:00 AM | 3:00 PM | 0 min | 8.00 |
| 9:30 AM | 6:00 PM | 60 min | 7.50 |
| 10:00 PM | 6:00 AM | 30 min | 7.50 |

**Excel or Word timesheet?**

| File | Best for | Calculates? |
| --- | --- | --- |
| Excel (.xlsx) | Typing times and getting hours, overtime and pay | Yes |
| Word (.docx) | Printing a blank sheet to fill in by hand | No |
| Team payroll calculator on this site | The cost of the whole team for a pay period | Yes |

## Worked example: a 5-day week at $20 an hour

1. Type 8:00 AM, 4:30 PM and 30 for the break on each weekday. Each row shows 8.00 hours.
2. Total hours: 5 × 8 = 40. Regular hours 40, overtime hours 0.
3. Regular pay: 40 × $20 = $800.00. Overtime pay: $0.00.
4. If one day runs to 6:30 PM, total hours become 42, with 2 overtime hours at $20 × 1.5 = $60.00, so gross pay is $860.00.

## FAQ

### What should a timesheet include?
The employee's name, the week or pay period, the date and the start and end time of each day, any unpaid break, total hours, and a signature. Overtime and pay lines help with payroll.

### How does the Excel timesheet work out hours?
It subtracts the start time from the end time, takes off the break and shows decimal hours, so 8 hours 30 minutes minus a 30 minute break is 8.00. Overnight shifts are handled.

### How do I type times in Excel?
Type a time such as 8:00 AM or 17:30. The cell understands it as a time. If a cell shows a number such as 0.35, change its format to Time.

### Can I use it for two weeks?
Yes. Choose the two-week sheet before you download. The totals add up all fourteen days, and you can change the overtime limit to match, for example 80 hours.

### Does the sheet calculate overtime?
Yes, above the limit you set, 40 hours by default, at the multiplier you set, 1.5 by default. Change both cells if your rules differ.

### Is a timesheet a legal record?
A signed timesheet is a useful record of hours worked, but rules about keeping time records differ by place, so check what applies to you.
