## How it works

Hourly worker: overtime hours = hours above the weekly limit × the weeks in the pay period (40 hours is the usual US limit). Gross pay = rate × regular hours + rate × the overtime multiplier × overtime hours. Salaried worker: gross pay = yearly salary ÷ pay periods per year, with no overtime added, so check whether your salaried staff are exempt. Burden = gross pay × your burden percent (employer payroll taxes, workers' compensation, insurance). Worker cost = gross + burden + any other cost per worker. Team cost = the sum. Yearly cost = team cost × pay periods per year. This is the employer's cost, not a paycheck: no income tax is taken out. The optional helper builds the burden from US employer taxes instead of one percent: Social Security and Medicare (both limited to the employer share), with Social Security stopping at the yearly wage base, plus federal unemployment (FUTA) as a flat amount per worker.

**Pay periods and how many a year**

| Pay period | Periods a year | Weeks in a period | Overtime starts after |
| --- | --- | --- | --- |
| Weekly | 52 | 1 | 40 hours |
| Every 2 weeks | 26 | 2 | 80 hours |
| Twice a month | 24 | 2.17 | 86.7 hours |
| Monthly | 12 | 4.33 | 173.3 hours |

**Cost of 10 workers at $20 an hour for 40 hours, by burden**

| Burden | Cost per worker per week | Team per week | Team per year |
| --- | --- | --- | --- |
| 10% | $880.00 | $8,800.00 | $457,600.00 |
| 15% | $920.00 | $9,200.00 | $478,400.00 |
| 20% | $960.00 | $9,600.00 | $499,200.00 |
| 25% | $1,000.00 | $10,000.00 | $520,000.00 |
| 30% | $1,040.00 | $10,400.00 | $540,800.00 |

## Worked example: three workers, one with overtime, one salaried, weekly

1. Worker A, $25 an hour for 45 hours: 40 × $25 = $1,000.00, plus 5 overtime hours × $25 × 1.5 = $187.50. Gross $1,187.50, cost with 20% burden $1,425.00.
2. Worker B, $20 an hour for 40 hours: gross $800.00, cost $960.00.
3. Worker C, salary $52,000: 52,000 ÷ 52 = $1,000.00 a week, cost $1,200.00.
4. Team: gross $2,987.50, burden $597.50, cost $3,585.00 for 125 hours, which is $28.68 an hour.
5. Over a year at 52 weekly periods: $186,420.00.

## FAQ

### Is this a paycheck calculator?
No. It shows what the team costs you as the employer. It does not take income tax or withholding out, because those depend on each worker's state and situation. For take-home pay use your payroll provider or your tax office's calculator.

### How do I use it for 10 to 20 workers?
Add a row for each worker, or copy the rows from a spreadsheet and paste them in the paste box. It handles up to 50 workers, and you can download the result as a spreadsheet file.

### What is burden and what percent should I use?
Burden is what you pay on top of wages: employer payroll taxes, workers' compensation, insurance and benefits. Add up your real yearly cost and divide by your yearly wages. The box starts at 20% as a placeholder.

### How is overtime worked out?
For hourly workers, hours above the limit in the pay period are paid at the multiplier, 1.5 times the rate by default. The limit is 40 hours a week for a weekly period and scales for longer periods. Salaried workers get no overtime here.

### What does the employer tax helper work out?
It replaces the single burden percent with the real parts: Social Security at 6.2% up to $184,500 of a worker's wages in 2026, Medicare at 1.45% with no limit, and federal unemployment tax (FUTA) of 0.6% on the first $7,000 paid to each worker, which is $42 a year. State unemployment tax and workers' compensation differ by state and trade, so you type your own percent. These are employer taxes only. The page does not work out income tax withholding or take-home pay.

### Are my salaried workers exempt from overtime?
That depends on their pay level and their duties under the rules where you work. The page treats salary as a flat amount per period. Check the rules before you decide.

### Why does the cost per hour matter?
It is the true price of an hour of your team's time, with burden and overtime included. Compare it with what you charge customers per labor hour to see if the work pays.
