## How it works

Services are hours × your rate, or 1 × a flat fee. Parts and supplies are listed at the price you charge. A call-out or other fee is its own line. Tax is charged only on the items you tick. Total = subtotal + tax. Balance due = total − payments already received.

**Flat fee or hourly for a service**

| Way to charge | How to enter it | Good when |
| --- | --- | --- |
| Flat fee | Quantity 1, price = the fee | The job is the same each time |
| Hourly | Quantity = hours, price = rate | The time needed is hard to predict |
| Call-out fee | A separate Fee line | You charge to come to the site |
| Parts | Parts and supplies lines | You supply anything for the job |

**Service invoice, receipt or estimate?**

| Document | What it does |
| --- | --- |
| Service invoice | Asks for payment for a service already done |
| Receipt | Confirms a payment that was already made |
| Estimate | Gives a price before the work is done |

## Worked example: a computer repair visit

1. Service: diagnostic and cleanup, 1 × $60 = $60.00.
2. Service: data backup, 2 hours × $55 = $110.00.
3. Parts: replacement SSD drive, 1 × $38 = $38.00 (taxable).
4. Call-out fee: $25.00.
5. Subtotal: $233.00. Tax at 8% on the part = $3.04.
6. Total: $236.04, due on receipt.

## FAQ

### How do I write an invoice for services?
Add your details and the client's, an invoice number and the dates, the date and place of the service, then one line for each service with a quantity and a price. Add parts and fees on their own lines, then tax, the total and how to pay.

### What should a service invoice include?
Your business name and contact details, the client, the invoice number, the issue and due dates, the date and place of the service, what you did, the price of each item, tax, the total and how to pay.

### Should I charge a flat fee or by the hour?
A flat fee suits a job that is the same each time. Hourly suits work where the time varies. You can use both on one invoice.

### How do I invoice parts and labor together?
Put the service on lines for service and the parts on lines for parts and supplies. Seeing them apart helps the client check the invoice, and lets you tick tax only on the items that are taxable.

### What is the difference between a service invoice and a receipt?
An invoice asks for payment. A receipt confirms a payment already made. If the client pays on the spot, you can still give an invoice marked as paid by entering the payment.

### When is payment due on a service invoice?
It is whatever you agreed. This page starts with Due on receipt. Choose Net 15, Net 30 or a date if you offer terms.
