## How it works

Each item = quantity × price. Tax is charged only on the items you tick, at the rate you enter. Total = items + tax. Balance remaining = total − amount received, never below zero. When the amount received covers the total, the receipt says Paid in full. The date paid, the payment method and any reference are printed on the receipt, and nothing is sent anywhere.

**Payment methods and the reference to write down**

| Paid by | Reference to note |
| --- | --- |
| Cash | Nothing needed; the signature and the date are the proof |
| Check | The check number |
| Card | The last four digits, never the full number |
| Bank transfer | The transaction or confirmation number |
| Zelle or another app | The confirmation ID from the app |

**Receipt, invoice or estimate**

| Document | What it says |
| --- | --- |
| Estimate | What the work is expected to cost, before it is done |
| Invoice | What the client owes, with a due date |
| Receipt | What has been paid, with the date and the method |

## Worked example: a repair paid in full, and a part payment

1. Labor: 3 hours × $60 = $180.00 (not taxed).
2. Parts: $42.50 (taxed). Sales tax at 8% on the parts = $3.40.
3. Total: $225.90. Amount received $225.90, so the balance is $0.00 and the receipt says Paid in full.
4. If the client paid only $150.00, the receipt shows a balance remaining of $75.90.

## FAQ

### What should a receipt include?
Your business name and contact details, who paid, a receipt number, the date paid, what the payment was for, the total, the amount received, the payment method and whether anything is still owed.

### What is the difference between a receipt and an invoice?
An invoice asks for payment and gives a due date. A receipt confirms payment and gives the date and method. Many businesses send an invoice first and a receipt when it is paid.

### How do I show a part payment?
Enter the amount actually received. The receipt then shows a balance remaining instead of Paid in full, so both sides have the same record.

### Should I put the full card number on a receipt?
No. Write only the last four digits, or leave the reference blank. Never print a full card number.

### Do I need a receipt for a cash payment?
It is wise to give one. A receipt with the date, the amount and your signature protects you and the customer if there is a later question.

### How long should I keep receipts?
Keep them for as long as your tax office and your own records require, commonly several years. Saving each PDF with the date and name in its file name makes them easy to find.
