# Progress Invoice Template

> List each part of the work with its contract value, the percent already billed and the percent done this period. The invoice bills only this period's share of each part and shows the contract, the amount billed before, the total complete to date and what remains. A $100,000.00 job at 52.5% bills $34,500.00 now.

## How it works

For each part: this period = contract value × the percent done this period. The percent done this period cannot push the total past 100%. Billed before = contract value × the percent already billed. Complete to date = billed before + this period, summed over all parts. Remaining = contract total − complete to date. Percent complete = complete to date ÷ contract total. The invoice total is the this-period amount, plus tax if you enter a rate.

**Schedule of values for a $100,000 contract (example)**

| Part of the work | Contract value | Done before | This period | This invoice |
| --- | --- | --- | --- | --- |
| Foundation | $30,000.00 | 60% | 40% | $12,000.00 |
| Framing | $45,000.00 | 0% | 50% | $22,500.00 |
| Roofing | $25,000.00 | 0% | 0% | $0.00 |

**Progress billing versus a final invoice**

| Type | What it bills |
| --- | --- |
| Deposit invoice | A share of the price before the work starts |
| Progress invoice | The work completed in one period, repeated until the job is done |
| Final invoice | Whatever remains when the work is complete |

## Worked example: a $100,000 job, second invoice

1. Foundation: $30,000.00 with 60% billed before and 40% this period: $12,000.00 now.
2. Framing: $45,000.00 at 50% this period: $22,500.00 now.
3. Roofing: $25,000.00 with no work this period: nothing billed.
4. This invoice: $34,500.00. Billed before: $18,000.00.
5. Complete to date: $52,500.00 (52.5%). Remaining on the contract: $47,500.00.

## FAQ

### What is a progress invoice?
An invoice for the work finished so far, sent at agreed points during a long job instead of one bill at the end. Each one covers only the new work since the last.

### What is a schedule of values?
A breakdown of the contract price by part of the work, such as foundation, framing and roofing. It is the list you bill progress against.

### How do I work out percent complete?
Estimate how much of each part is done, ideally with the client or inspector. Enter the share done before and the share done this period. This page stops the total at 100%.

### Do I need retainage on a progress invoice?
Only if your contract holds back a share until the job ends. The construction invoice page has a retainage box for that. This page keeps to the schedule of values.

### How often should I send a progress invoice?
As often as your contract says: monthly, at milestones, or by percent complete. Say the schedule in the notes so the client knows when to expect it.

### What do I do about stored materials?
Some contracts allow billing for materials delivered but not yet installed. Add them under Extra items, with the receipt, if your contract permits it.
