## How it works

Word does not calculate inside this kind of table, so you type each amount and the totals yourself: amount = quantity × rate, subtotal = the sum of the amounts, tax = subtotal × your rate, total = subtotal + tax, balance due = total − amount paid. If you want the totals to calculate by themselves, use the Excel invoice template instead.

**How to edit each part of the Word file**

| Part | How to change it |
| --- | --- |
| Logo | Click in the top left cell and use Insert, then Pictures, then size it |
| Colors | Select the header row, then Table Design, then Shading |
| Fonts | Select all with Ctrl+A (Cmd+A on Mac) and pick a font |
| More item rows | Click in the last cell of the table and press Tab |
| Fewer rows | Select the rows, right click, then Delete Rows |
| Another currency | Replace the symbol in the totals boxes |

**Word, fillable PDF or generator?**

| Option | Strength | Weakness |
| --- | --- | --- |
| Word file | Fully editable, familiar, easy to restyle | You do the maths yourself |
| Fillable PDF | Looks the same everywhere | Hard to restyle or add rows |
| Invoice generator on this site | Does the maths and makes the PDF | The layout is fixed |

## Worked example: filling in the Word file

1. Type the client's name and address under Bill to, and the date and due date in the top right.
2. In the item table write 10 hours of work, 1 part and 2 smaller items, each with its quantity and rate.
3. Work out the lines: $850.00, $240.00 and $75.00. The subtotal is $1,165.00.
4. Tax at 7% is $81.55, so the total is $1,246.55. With $500.00 paid, the balance due is $746.55.

## FAQ

### How do I make an invoice in Word?
The quickest way is a template. Download this one, type your details, fill in the table, save it as a new file for each invoice and send it as a Word file or a PDF.

### How do I add my logo to a Word invoice?
Click in the top left cell, choose Insert, then Pictures, and pick your logo file. Drag a corner to size it. You can delete the business name text if the logo already shows it.

### How do I save a Word invoice as a PDF?
Choose File, then Save As or Export, and pick PDF. A PDF cannot be edited easily, so it is the best format to send to a client.

### Can I add more rows?
Yes. Put the cursor in the last cell of the item table and press Tab. You can also choose more rows before you download.

### Does the template contain macros?
No. It is a plain Word document with tables and text, so it opens without security warnings.

### Why do the totals not add up by themselves?
Word tables are for layout. For automatic totals use the Excel invoice template, or the invoice generator that makes a finished PDF.
