# Invoice Template for Excel

> Choose your rows, tax rate and currency, and download an .xlsx invoice where the amounts, subtotal, tax, total and balance due calculate by themselves. Type a quantity and a rate, and the line total appears. It also opens in Google Sheets, with no macros and no watermark.

## How it works

Line amount = ROUND(quantity × rate, 2), left empty until both are numbers. Subtotal = SUM of the amount column. Tax = ROUND((subtotal − discount) × the tax rate, 2). Total = subtotal − discount + tax. Balance due = the larger of 0 and (total − amount paid). The tax rate is a single cell, so you change it once. The currency symbol is a number format, so it never gets in the way of the formulas.

**The cells in the Excel file and what they do**

| Cell | What it holds | Formula or type |
| --- | --- | --- |
| Amount column | Quantity times rate for each line | IF(AND(ISNUMBER(B13),ISNUMBER(C13)),ROUND(B13*C13,2),"") |
| Subtotal | Sum of the line amounts | SUM(D13:D24) |
| Tax rate box | Your tax rate as a percent | You type it once |
| Tax | Tax on the subtotal less any discount | ROUND((subtotal - discount) * rate, 2) |
| Total | Subtotal less discount plus tax | Adds the cells above |
| Balance due | What is still owed | MAX(0, total - amount paid) |

**Excel, Sheets or the invoice generator?**

| Option | Best for |
| --- | --- |
| Excel file | Invoicing often with automatic totals you can keep and sort |
| Google Sheets | The same file, edited online and shared with a link |
| Invoice generator on this site | A finished PDF with a logo and signature in one go |

## Worked example: a small job with 7% tax and a deposit

1. Type 10 and 85 on the first row: the amount shows $850.00. Then 1 and 240 gives $240.00, and 2 and 37.50 gives $75.00.
2. The subtotal adds itself: $1,165.00.
3. With 7% in the tax box the tax is $81.55, and the total is $1,246.55.
4. Type $500.00 under Amount paid and the balance due becomes $746.55.

## FAQ

### How do I make an invoice in Excel?
Use a template with formulas. Type the quantity and the rate for each item, and the amounts, subtotal, tax, total and balance due calculate by themselves.

### How do I add more item rows without breaking the total?
Insert a row inside the item table, between two existing rows. The subtotal formula sums the whole table, so it grows with it. Or pick more rows before you download.

### How do I change the tax rate?
Type a new percent in the tax rate box next to the tax line. Everything below updates at once.

### How do I change the currency?
Choose the symbol before you download. In Excel you can also select the money cells, open Format Cells and pick another currency format.

### Can I use it in Google Sheets?
Yes. Upload the file to Google Drive and open it with Google Sheets. The formulas work the same way.

### How do I stop people changing the formulas?
In Excel, choose Review, then Protect Sheet, after unlocking the cells you want people to type in. The formulas then stay locked.
