## How it works

Hourly work is hours × your rate. A fixed fee is 1 × the agreed price. Expenses are listed at cost on their own lines. Total = subtotal + tax, if you charge any. Balance due = total − advances or payments already received. The currency defaults to US dollars and can be changed in the Currency box.

**Total for hours at your rate**

| Hours | at $50 an hour | at $75 an hour | at $100 an hour |
| --- | --- | --- | --- |
| 10 hours | $500.00 | $750.00 | $1,000.00 |
| 20 hours | $1,000.00 | $1,500.00 | $2,000.00 |
| 40 hours | $2,000.00 | $3,000.00 | $4,000.00 |

**How to show each kind of freelance work**

| Kind of work | How to enter it |
| --- | --- |
| Hourly | Quantity = hours, price = your hourly rate |
| Fixed price | Quantity 1, price = the agreed fee for that deliverable |
| Retainer or advance | Enter it under Payments already received so it comes off the balance |
| Expenses | A separate line at cost, with a clear description, such as stock photos or software |

## Worked example: 22 hours of design work with an advance

1. Design work: 22 hours × $75 = $1,650.00.
2. Expense at cost: stock photos, 1 × $45.00.
3. Total: $1,695.00. No tax is charged on this invoice.
4. The client paid a $400.00 advance, so the balance due is $1,295.00.
5. With Net 30 terms, the due date is 30 days after the issue date.

## FAQ

### How do I make an invoice as a freelancer?
Add your name and contact details, the client's details, an invoice number and the dates. List your work by the hour or as a fixed fee, add any expenses, enter payment details, then download the PDF.

### Should I bill hourly or by a fixed price?
Hourly suits work where the amount of effort is hard to predict. A fixed price suits a clearly defined deliverable. You can mix both on one invoice: hours on one line, a fixed fee on another.

### How do I invoice a client in another country?
Pick the currency you agreed on in the Currency box. Whether tax or a tax ID is needed depends on the countries involved, so ask your client and check your local rules. This is not tax advice.

### When should I send a freelance invoice?
When the work is delivered, or at the milestones or month-end you agreed. Sending it promptly helps you get paid sooner. This page starts with Net 30 terms, which you can change.

### How do I invoice for expenses?
Put each expense on its own line at what you paid, with a clear description. Keep the receipt. If you agreed to a markup, state it in the description.

### What should I do if a client pays late?
Check your payment terms are written on the invoice, send a polite reminder with the invoice number, and keep your records. If you agreed a late fee in advance, put it in the notes. This is not legal advice.

### Do I add tax to a freelance invoice?
It depends on where you and your client are and on the kind of work. Leave the tax rate empty if you do not charge tax, or enter it if you do.
