This is a free interactive calculator that runs in the browser. Nothing you type is stored or sent. Results are estimates.

## How it works

Total expenses = employee-paid costs + company-paid costs. Estimated amount owed to the employee = employee-paid costs minus the cash advance, with a minimum of zero. If the advance is larger, the excess is shown as Advance to return. All amounts are USD and are calculated in cents. Enter the total paid including tax; no mileage rate, tax deduction percentage or currency conversion is applied.

**What each download includes**

3. With a $100.00 cash advance, estimated amount owed to the employee is $45.25.
4. If the advance was $200.00, the estimated amount owed is zero and the advance to return is $54.75.

## FAQ

### Is this expense report template free?
Yes. Prepare up to 50 expense entries, download your Excel or CSV file, or get the blank Excel template. No account or email address is required.

### Do the Excel formulas still work after downloading?
Yes. Employee-paid amounts, spending totals, category totals and reimbursement calculations are formulas. Edit the 50 reserved expense rows and the cash advance in a compatible spreadsheet application. The CSV version contains plain rows without formulas.

### How do I avoid reimbursing a company-card expense?
Choose Company in the Paid by field for that entry. It stays in total spending but is excluded from the employee-paid amount used to estimate reimbursement. Follow your employer's approval policy.

### Does CSV include my advance and report summary?
No. CSV is an expense-row export with date, category, merchant, purpose, payer, receipt reference, amount and employee-paid amount. Download Excel for report header details, the advance and reimbursement summary.

### Are receipts attached to this report?
No. You can enter a receipt filename or reference to match each row to a supporting document. Keep and submit the actual receipts separately. The form does not upload receipt files.

### Does this calculate tax deductions or verify reimbursements?
No. It organizes entered costs and estimates the balance after an advance. A category is not a tax-deduction decision, and the tool does not approve a claim, apply employer policies or validate the underlying receipt.
