# Deposit Invoice Template

> Enter the contract total and set the deposit as a percent or a fixed amount. The invoice asks for that deposit only, shows any deposit already received, and states what is still due now and what is left on the contract. A $8,000.00 contract with 30% down asks for $2,400.00.

## How it works

Deposit = contract total × deposit percent, or the fixed amount you type, never more than the contract. Balance of the contract after the deposit = contract total − deposit. Deposit due now = deposit − deposit already received, never below zero. The tax box applies to the deposit line only if you set a rate, so leave it empty unless your area taxes deposits.

**Deposit amounts on common contract sizes**

| Contract | 10% down | 25% down | 30% down | 50% down |
| --- | --- | --- | --- | --- |
| $2,000.00 | $200.00 | $500.00 | $600.00 | $1,000.00 |
| $8,000.00 | $800.00 | $2,000.00 | $2,400.00 | $4,000.00 |
| $25,000.00 | $2,500.00 | $6,250.00 | $7,500.00 | $12,500.00 |
| $60,000.00 | $6,000.00 | $15,000.00 | $18,000.00 | $30,000.00 |

**What a deposit invoice should say**

| Line | Why it matters |
| --- | --- |
| What the deposit is for | Links the money to a named job, so nobody guesses |
| Contract total | Shows the deposit as a share of the whole price |
| Deposit asked and received | Makes clear what has been paid and what is still due |
| Balance left on the contract | Sets the expectation for the next payment |
| Whether it is refundable | Put the rule in the notes, in the same words as the contract |

## Worked example: an $8,000 contract with 30% down and $1,000 already received

1. Contract total: $8,000.00. Deposit at 30% = $2,400.00.
2. Balance of the contract after the deposit: $8,000.00 − $2,400.00 = $5,600.00.
3. Deposit already received: $1,000.00.
4. Deposit due now: $2,400.00 − $1,000.00 = $1,400.00.

## FAQ

### What is a deposit invoice?
A request for part of the price before work starts. It names the job, the deposit amount and the contract total, so the client knows what they are paying toward.

### How much deposit should I ask for?
It depends on your trade and on how much you pay for materials up front. Ten to fifty percent is common in many trades. Use the amount your contract states.

### How is a deposit different from a final invoice?
A deposit invoice asks for a share of the contract before the work. The final invoice lists the whole job and takes the deposit off as a payment already received.

### What if the client already paid part of the deposit?
Enter what was received under Deposit already received. The invoice then asks only for the rest and shows the deposit as partly paid.

### Is a deposit refundable?
That is for your contract and your local rules to decide. State the rule in the notes so it matches the contract, and ask a local adviser if you are unsure.

### Should a deposit invoice have a due date?
Usually it is due on receipt, so the work can be booked. This page starts with due on receipt. Change the terms if you agreed something else.
