## How it works

Labor is hours × your hourly rate, or 1 × a flat price. Materials are listed on their own lines. Tax is charged only on the items you tick as taxable. Total = subtotal + tax. Balance due = total − deposits and payments already received. Permit and disposal fees go on a separate line so the client can see them.

**What a contractor invoice usually includes**

| Part | What to write |
| --- | --- |
| Job site address | Where the work was done, so the client can match it to the job |
| License or registration number | Only where your area asks for it |
| Scope of work | A plain description of what was done |
| Labor and materials | On separate lines, so the client can check each one |
| Extra work | Its own line, marked as an addition to the original job |
| Deposit and payments received | Shown as already paid, so the balance is clear |
| Terms and how to pay | The due date and the ways you accept payment |

**Three ways to bill the same job**

| Way to bill | How to enter it |
| --- | --- |
| Hourly | Quantity = hours, price = your hourly rate |
| Flat price | Quantity 1, price = the agreed price for that part of the job |
| Materials | List them at your cost, or at cost plus the markup you agreed, and tell the client which |
| Change order | A separate line for the extra work, added after the client agrees |

## Worked example: a bathroom remodel with a deposit paid

1. Labor: 14 hours × $70 = $980.00 (not taxable).
2. Materials: tile and vanity, 1 × $1,240.00 (taxable).
3. Permit and disposal fees: $85.00 (not taxable).
4. Subtotal: $2,305.00. Tax at 7% on the taxable materials = $86.80.
5. Total: $2,391.80. The client paid a $500.00 deposit, so the balance due is $1,891.80.

## FAQ

### What should a contractor invoice include?
Your business name and contact details, the client's name, an invoice number, the issue and due dates, the job site address, a description of the work, labor and materials on separate lines, any tax, the total, deposits or payments received, and how to pay. Add your license number if your area asks for one.

### How do I bill materials and labor on a contractor invoice?
Put them on separate lines. Labor can be hours × your rate or a flat price. Materials can be listed at your cost or at the price you agreed with the client, including any markup. Whichever you use, make sure the client knew before the work started.

### Do I charge tax on labor and materials?
It depends on your state or country and on the kind of work. That is why each item has its own tax box. Tick it only for the items that are taxable where you work, and ask your local tax office if you are not sure. This is not tax advice.

### How do I invoice extra work that was not in the original quote?
Add it as its own line and describe it as extra work. Get the client's agreement first, ideally in writing, so the amount is no surprise when the invoice arrives.

### Do I need a license number on my invoice?
Some places require it, others do not. The license field is optional. Check what your local licensing board or building department expects.

### How do I invoice a deposit?
Choose Deposit invoice in the Type box and enter the percentage. For the later invoice, enter the deposit under Payments already received, so the balance shows what is left.

### When should a contractor send the invoice?
As soon as the work is done, or at the milestones you agreed. This page starts with Net 15 terms. Change it to match your agreement.
