# How to Write a Rent Receipt, Including Partial Payments

> Write who received the payment, who paid, the rental property, the period covered, and the payment date, amount and method. Give the receipt a number and show any rent still owed. Check the details before issuing it, then keep a copy with your payment records.

## Key points
- Record the payment received, not just the rent charge.
- Name the property and rental period clearly.
- Show a remaining balance for partial payments.
- Keep the receipt with supporting payment records.

## Start with a payment you received

A rent receipt records a completed payment; an invoice asks for one. This checklist is for US payment records, and it doesn't replace state or local rental requirements or the terms of your lease.

Start with your payment record and rental account, then write the receipt from those details. If a check or transfer hasn't cleared, make its status clear rather than implying that a document generated online independently verifies the payment.

Tip: You can use our [free rent receipt generator](https://receiptscanner.co/tools/rent-receipt-template) to enter the details, check the preview and download a PDF, or download a blank form to fill in by hand.

## Use this receipt checklist

Make it possible for either person to identify the payment later without rebuilding the conversation around it. A property address alone may not distinguish two units, and a payment date alone may not explain which rental period was covered.

- [ ] Landlord or payee: the person or business receiving the payment.
- [ ] Tenant or payer: who made the payment.
- [ ] Rental property: the address and apartment or unit, where applicable.
- [ ] Receipt number: your own reference for finding the record again.
- [ ] Dates: when payment was received and the rental period it covers.
- [ ] Money: rent due against this payment, amount received and remaining balance.
- [ ] Method: cash, check, transfer or another method, with an optional reference.

Tip: Use only a limited payment reference. Keep full bank account and card numbers off a receipt that may be shared.

## Make partial payments clear

When the amount received is smaller than the rent due, show the difference as the remaining balance. Don't use a paid-in-full label while the receipt still shows unpaid rent.

If a previous payment already reduced the rent charge, start with the unpaid rent before this new payment and explain that basis in the notes. This avoids subtracting the earlier payment twice or making a new receipt look like it covers the entire month.

**a fictional partial payment**

| Item | Value |
| --- | --- |
| Rent due against this payment | $1,200.00 |
| Payment received | $800.00 |
| Remaining balance | $400.00 |
| Receipt status | Partial payment |

Example only. If $1,250.00 was received instead, show a zero balance and a separate $50.00 overpayment credit; agree separately how that credit will be handled.

## Keep the dates separate

The rental period and the payment date answer different questions. One describes what the payment covers; the other records when it arrived, so they needn't be the same date.

Write both explicitly instead of leaving a note such as 'this month's rent.' Before sending the receipt, compare the period, address and amount with the rental account so that an early or late payment doesn't get assigned to the wrong period.

- Use a start and end date for the rental period.
- Record the actual payment date separately.
- Explain any unusual allocation in the notes.
- Check the receipt number against your own records.

## Keep supporting records together

The [IRS recordkeeping guidance](https://www.irs.gov/businesses/small-businesses-self-employed/what-kind-of-records-should-i-keep) explains that receipts and other supporting documents help support entries in business books. Keep your issued receipt with the relevant payment evidence and rental records, rather than expecting one PDF to explain everything.

For rental-income tax questions, use [IRS Topic 414](https://www.irs.gov/taxtopics/tc414) or a qualified tax professional. This article explains how to make a clear payment record; it doesn't calculate rental income tax or determine whether a payment is deductible.

- Save the receipt with a name you can find later.
- Retain the payment reference and rental-account entry alongside it.
- Keep the earlier copy if you need to correct an issued receipt, and document the correction.

## Check the PDF before sharing

Open the downloaded file before sending it. Look for truncated addresses, the wrong rental period, a missing payment reference or a balance that doesn't match your records.

Our generator runs in your browser and offers US Letter and A4 PDFs, a print option and a blank template. Download the copy you need before closing the tab, because the form doesn't save the entered information.

- [ ] The correct tenant, property and period appear.
- [ ] The payment amount and remaining balance match your records.
- [ ] Partial payment or overpayment is labeled accurately.
- [ ] Long names, addresses and notes are readable.
- [ ] You have retained a copy before sharing.

## FAQ

### Can I write a rent receipt by hand?
A blank printable form is one way to record the details. Make the entry legible, retain a copy and check the applicable rental requirements for your property.

### Should a receipt show the full monthly rent?
Make the basis clear. Show the rent charge against which this payment is recorded, the payment received and the remaining balance. If earlier payments already reduced that charge, explain that in the notes.

### Can I issue a receipt for a partial payment?
You can record the amount actually received and show what remains unpaid. The document should clearly say Partial payment instead of Paid in full when a balance remains.

### Does a generated PDF prove that money was received?
The generator records the information entered by the issuer. It doesn't access a bank account, process payments or independently verify a transaction. Keep the supporting payment records.
